The listing appointment is not the work. The work is the two hours afterwards, and it usually happens on a Sunday, uninvited and unpaid.

Here is how agents run it with a voice-first setup instead. It is, I promise, less fuss than it sounds.

During the appointment

Hit record when you sit down at the kitchen table. You are looking at the vendor, not at a notepad, which is rather the whole point.

What gets captured without you thinking about it:

  • The vendor's price expectation, in their words
  • The reason they are selling and their timing
  • Every specific ask, including the ones they mention on the way out
  • What you promised to send

On the drive home

Talk through the comparables while they are fresh in your mind. Address, price, why it is or is not a fair comparison, what you would discount for.

By the time you are home

Waiting for you, all present and correct:

  1. Minutes of the appointment, with the vendor's asks listed separately from the general chat
  2. A follow-up email drafted in your own account, referencing what they actually said
  3. Tasks for each promise you made, with the dates you spoke aloud
  4. A CMA drafted from the comparables you talked through, ready for you to correct

You check it, fix the two things it got slightly wrong, and send.

Shared folders per listing

If you work in a team, put the folder against the property. Your partner agent, your associate and whoever is running the campaign all see the same captures and drafts, so nobody has to be briefed twice over coffee.

The pitch is simple. Your Sunday goes back to being a Sunday.
